Direct Answer
Booking systems are inventory systems with dates. We build room, tour or resource availability, reservation, pricing and settlement so a calendar-based product never sells the same night twice under concurrent bookings.
Suitable For
- Hotels, homestays and small chains needing direct booking outside OTA commission
- Tour operators needing itinerary, departure, seat and guide allocation
- Venue or resource operators needing time-based reservation and pricing
Not Suitable For
- OTA aggregation that requires contracted access to third-party inventory the client does not have
- Airline or rail ticketing requiring certified distribution system access
Core modules and the data each one owns
| Module | Scope, data and rules it owns |
|---|---|
| Resource & availability | Room type, unit or seat inventory per date, with the allocation rules that decide which physical unit fulfils a booking. |
| Rate & pricing | Seasonal rates, weekday and weekend rules, length-of-stay pricing, promotions and their priority when several apply. |
| Reservation | Booking state machine covering hold, confirmation, modification, cancellation and no-show, with the cancellation policy encoded rather than handled by hand. |
| Check-in & operations | Arrival and departure handling, housekeeping or preparation status, and the daily operations list staff actually work from. |
| Channel & distribution | Direct booking as the source of truth, with OTA inventory pushed or pulled where the channel provides an API, to reduce overbooking. |
| Settlement & reporting | Deposits, balances, refunds by policy, occupancy and revenue reporting per period and per channel. |
Step-by-step Process
- Send the current workflow, the roles involved and where the process breaks down today
- We map the data model, the modules needed at launch and what can wait for a later phase
- Confirm scope, integrations, acceptance criteria, source-code ownership and deployment responsibility
- Iterative build with demos at each milestone, then functional, compatibility and performance testing
- Deployment, source-code and documentation handover, then an agreed maintenance path
Buyer Checklist
- One primary user workflow and one admin workflow defined for the first release
- Role and permission matrix agreed before development, enforced in the backend
- Integration accounts and API credentials confirmed as available
- Data migration source, format and volume reviewed
- Acceptance criteria written per module, not per screen
- Source-code ownership, deployment responsibility and maintenance scope stated in the contract
Information Needed for Quotation
- The workflow you want to replace or build, and who performs each step
- User roles and what each role may see and edit
- Platforms required at launch (web, mini program, iOS, Android, desktop)
- Systems to integrate: payment, ERP, WMS, hardware, accounting, third-party APIs
- Existing data to migrate, its current format and rough volume
- Whether source-code handover and self-hosting are required
Frequently Asked Questions
How do you prevent double booking across channels?
One availability store owns inventory, and every channel writes through it inside a transaction. Where an OTA only supports periodic sync, we agree a buffer allocation so the sync window cannot oversell — full real-time consistency is not achievable when the channel itself is not real-time.
Can pricing rules be changed without a developer?
Yes. Rate plans, seasonal rules and promotions are configured in the admin panel. Only genuinely new rule types need development, which is why the pricing model should be discussed thoroughly during scoping.
Which platforms do you build for this industry?
Multi-language responsive website for direct bookings and search traffic, WeChat mini program for domestic guests, iOS and Android apps where repeat booking justifies it, plus a web console for front desk and operations.
What can you integrate with?
Payment gateways with deposit and pre-authorisation support; map APIs; OTA channel APIs where available; SMS and email confirmations; invoicing and accounting export.
Will we own the source code?
Source-code handover, repository access, deployment notes and database documentation can be included in the agreed scope. State it in the brief so it is priced in rather than added later.
Can you take over an existing system instead of rebuilding?
Yes. We start with a code and environment review, then propose a scoped plan for bug fixes, refactoring, UI rework or new features. Rebuilding is only recommended when the review shows the existing codebase cannot carry the roadmap.
