A custom CRM estimate is useful only when it describes how a lead becomes an active customer and how staff handle exceptions. Count workflows and permission rules before counting screens. If an existing tool covers the process, configuration or integration may be a better first step than a replacement.
Decide what requires custom development
| Requirement | Try first | Reason to build custom |
|---|---|---|
| Contacts, notes and one sales pipeline | Configure an existing CRM | A required workflow cannot be expressed or exported safely |
| Orders shared with another system | Review an integration | Ownership, reconciliation or approvals need bespoke rules |
| Different access for sales, finance and partners | Write an access matrix | Field and record restrictions exceed the current tool's controls |
| Historical data migration | Profile a redacted sample | Duplicates, relationships or incomplete fields require a migration process |
Cost drivers to put in the brief
State user roles, lead stages, required fields, task assignments, approval rules, attachments, reports, import sources and integrations. For each integration, identify the system owner, available API and failure handling. A dashboard total without a definition of the underlying records creates disagreement at acceptance.
A bounded first release
Start with one complete workflow: create lead, assign owner, record activity, change stage and export an agreed report. Test denied access as well as permitted actions. Defer unrelated marketing automation or AI suggestions until the source data and staff process are dependable.
Compare estimates on the same scope
- Separate discovery, design, implementation, migration and post-launch support.
- State whether hosting, third-party subscriptions and recurring maintenance are included.
- Name the reports and import validation rules used for acceptance.
- Define repository, database, account ownership and handover responsibilities.
There is no universal CRM price or delivery period. Explore business software development and request an estimate with a redacted workflow, role list, data sources and integration requirements.
